The Executive Assistant will provide high-quality administrative and executive support to members of the Board, ensuring that diaries, correspondence, meetings, travel and documentation are managed efficiently and professionally.

 

The role requires a high level of confidentiality, accuracy, organisation and initiative, together with strong interpersonal and communication skills.

 

Qualifications / Experience

  • Strong administrative or executive support experience in a professional environment.

  • Excellent working knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint.

  • Experience managing electronic calendars, appointments and correspondence using Microsoft Outlook.

  • Strong document preparation and word-processing skills.

  • Experience coordinating travel arrangements and meetings.

  • Experience maintaining organised filing and document management systems.

  • Experience working with confidential information and sensitive documentation.

 

Responsibilities

  • Executive & Administrative Support

  • Provide comprehensive executive and administrative support to members of the Board.

  • Prepare, format and manage correspondence, reports, presentations and other business documentation.

  • Manage and coordinate diaries, appointments, meetings and related communications.

  • Screen and manage telephone calls and visitors as required.

  • Maintain accurate and well-organised electronic and physical filing systems.

 

Board & Management Support

  • Compile, coordinate and distribute Board papers on a monthly basis.

  • Support the preparation and circulation of management documentation and meeting materials.

  • Prepare the minutes of Board and management meetings.

  • Ensure relevant documentation is prepared accurately and available within agreed timelines.

 

Travel & Meeting Coordination

  • Arrange and coordinate travel and associated logistics as required.

  • Coordinate meetings, including diaries, invitations, documentation and practical arrangements.

 

General

  • Maintain a high standard of confidentiality in all aspects of the role

  • Use initiative to identify and respond to administrative requirements and priorities.

  • Undertake other reasonable administrative and executive support duties as required.
